Who we are
TurnWise Digital is an invoice-checking service based in Kent. We are responsible for the personal information described here. Contact us at sales@turnwisedigital.com.
What we collect
- Enquiries: your name, business name, phone, email, town and message when you use our free check form.
- Customers: your login details, business details, the supplier invoices you send us, and figures we work out from them (prices, savings, dish costs and any sales totals you give us).
- Supplier invoices can include names of sole traders and staff. We only use them to check your costs.
Why we use it
- To reply to your enquiry and carry out the free check: our legitimate interests and steps you asked for before a contract.
- To provide the monthly service and your dashboard: to perform our contract with you.
- To keep records for tax and accounting: a legal obligation.
We never sell your information or use it for anyone else’s marketing.
Who helps us run the service
We use trusted providers: Netlify (website hosting), Formspree (our enquiry form), Supabase (secure database, logins and file storage, held in London) and Anthropic (an AI service that helps read invoice lines). Where any of them handle data outside the UK, they do so under approved safeguards such as the UK International Data Transfer Agreement or UK adequacy regulations.
How long we keep it
Enquiries: up to 12 months if you don’t become a customer. Customer invoices and data: for as long as you’re a customer, then deleted within 90 days unless you ask for a copy. Accounting records: 6 years.
Your rights
You can ask to see, correct, delete or download your data, or object to how we use it, by emailing sales@turnwisedigital.com. You can also complain to the Information Commissioner’s Office at ico.org.uk.
Security
Data is encrypted in transit and at rest. Each customer account can only reach its own records, enforced by the database itself. Invoice files are private and opened through links that expire after 60 seconds. Admin access needs a password and a code from an authenticator app.
